The Compliance Specialist with 5+ years of hands-on experience managing Indian labour and statutory compliance, with strong exposure to the Compliance Audits, Shops & Establishments Act, Employees’ Provident Fund (PF/EPF), Contract Labour (Regulation & Abolition) Act (CLRA), and vendor/contractor compliance audits. The role supports day-to-day statutory compliance operations, vendor due diligence and audits, inspections, and timely filings, ensuring zero critical non-compliances and a robust compliance culture.

Responsibilities

  • Represent Pinkerton’s core values of integrity, vigilance, and excellence.
  • Manage registrations, amendments, and renewals for offices/branches; maintain mandated display notices.

  • Maintain and audit statutory registers/records; ensure adherence to working hours, leave, holidays, and overtime rules.

  • Track and close inspections/notices; maintain action trackers and evidence repositories.

  • Keep a live compliance calendar for all state-specific S&E requirements.

  • Oversee employee onboarding to EPFO (UAN creation, KYC seeding) and employee exits/transfer claims.

  • Prepare and file monthly ECR, generate challans, reconcile contributions, and resolve variances.

  • Handle member grievances, withdrawals/transfer claims, and inspection support; maintain PF audit readiness.

  • Maintain PF-related registers, MIS, and ensure statutory timelines are met.

  • Coordinate Principal Employer registration/licenses and contractor licenses; track validity and renewals.

  • Ensure contractor/vendor compliance: wage payments (bank transfer), attendance, OT, wage registers, and statutory deductions.

  • Collect, review, and audit contractor documentation (licenses, RC, muster rolls, wage slips, PF/ESI challans).

  • Perform periodic site/vendor audits with CAPA (Corrective and Preventive Actions), follow-through to closure.

  • Pre-onboarding due diligence for vendors (statutory docs, declarations, indemnities, and compliance clauses in contracts).
  • Develop and execute an audit plan, risk-score vendors, and publish dashboards; recommend remediation or blacklisting triggers as needed.
  • Conduct sample checks (wage payments, overtime compliance, ID proofs, age verification, safety basics where applicable).
  • Act as the point of contact for labour authorities for S&E, PF/EPFO, and CLRA matters.

  • Draft responses to notices and inspection queries; ensure timely submission of information and zero penalties.

  • Maintain a centralized tracker for inspections, notices, and compliance status.

  • Maintain a comprehensive compliance calendar (filings, payments, license renewals), send reminders, and ensure on-time completion.

  • Prepare monthly MIS/dashboards for leadership: filing status, audit findings, CAPA progress, risk register.

  • Draft and update SOPs, checklists, templates, and training materials; conduct training for HR, operations, and vendor partners.

  • ESI, Professional Tax (PT), Labour Welfare Fund (LWF), Minimum Wages, Payment of Bonus, Payment of Wages, Payment of Gratuity, POSH, and relevant state labor rules.
  • Coordinate with Payroll/Finance/HR Ops to align data and ensure complete, accurate, and timely submissions.
  • All other duties, as assigned.

Qualifications

5+ years of relevant experience in Indian statutory labour compliance covering S&E, PF/EPF, CLRA, and vendor audits.

  • Bachelor’s degree in HR/Law/Industrial Relations or equivalent.
  • Strong working knowledge of EPFO Unified Portal and state labour portals; hands-on experience with statutory registers and filings.
  • Proficiency with MS Excel, Word, PowerPoint; ability to manage large data sets and reconciliations.
  • Strong written and verbal communication in English; working proficiency in local language(s) preferred.
  • Willingness to travel for vendor/site audits and inspections, as required.
